# Tenant communication for small landlords: templates that cut the follow-up calls

**Good tenant communication is a quick acknowledgment, a scheduled time and a close-out message for every request. It also creates a record: Texas repair rules turn on when the landlord received notice (Property Code [§ 92.052](https://statutes.capitol.texas.gov/Docs/PR/htm/PR.92.htm)), so dated written messages matter.**
**Not legal advice.** General information for small-office staff, current as of October 25, 2026. Texas statutes are cited as examples; your state and your contracts control the details.

## Three messages per request

```
1) Got it: "Thanks, we received your request about the sink leak in 4B. We will confirm a time today."
2) Scheduled: "ABC Plumbing will come Tuesday between 9 and 12. Reply if that does not work."
3) Done: "The plumber reports the leak is fixed. Please reply if anything is still wrong."
```

## Keep it in writing

Ask tenants to send requests by text or email so there is a date stamp. Save your replies with the work order.

## Set expectations once

At move-in, give tenants one page: how to report requests, what counts as an emergency, and how fast you respond.

## Where an assistant helps

TapeAndFloat drafts the acknowledgment, scheduled and done messages from your work orders, in English or Spanish, for you to send.

**Free 60-day pilot:** forward your job emails to the assistant, keep working in your own Sheet, and get a short daily list of what is slipping. No new app, no card. [Request a pilot spot](../#pilot).
